What is the difference between an Organisation and a Workspace?
The Organisation is the top-level company account. It manages team members, billing, branding, and organisation-wide settings. Workspaces sit within the Organisation and are where projects and interviews live. One Organisation can have many Workspaces. Users must be Organisation members before they can be invited to any Workspace.
Should I create a separate Workspace for each project?
Yes, if you want only that project's team to see it. Access is set per Workspace, not across the whole Organisation: a member only sees the Workspaces they've been invited to, and cannot see projects in Workspaces they don't belong to. Create one Workspace per project, then invite just that project's people as Can Edit or Can View.
What are the Organisation roles and what can each do?
Owner (exactly one per Organisation): full control, can change the Organisation name, transfer ownership, invite members to any role, remove any member, manage themes and branding, and approve or publish projects directly. Cannot leave without first transferring ownership.
Admin (multiple allowed): can invite and remove members (except the Owner), change roles between Admin and Editor, manage themes, and approve or publish projects directly. Cannot change the Organisation name or transfer ownership.
Editor (multiple allowed): can create and edit projects (with workspace access) and create Workspaces, but must request approval to publish. Cannot invite or remove members, manage themes, or approve publications.
What are the Workspace roles and what can each do?
Owner (exactly one per Workspace): complete Workspace control including renaming, deleting, inviting and removing members, changing roles, transferring ownership, and creating, editing, publishing, moving, or copying projects.
Can Edit (multiple allowed): can create, edit, and delete projects, rename the Workspace, invite members (as Can Edit or Can View), move and copy projects, create categories and filters, and export reports. Cannot delete the Workspace, remove members, or change member roles.
Can View (multiple allowed): read-only access to all projects, conversations, and analysis. Can export reports. Cannot create, edit, or publish anything.
How does publishing permission work across both levels?
Publishing requires both a Workspace role of Owner or Can Edit AND an Organisation role of Admin or Owner (to publish directly). Organisation Editors must request approval regardless of their Workspace role. If someone has the Workspace Owner role but only Organisation Editor, they must use the approval workflow.
How do I invite someone to my Organisation?
Go to the pink icon (top left) > Organisation Settings > Invite to Organisation. Enter the email address and select a role (Admin or Editor). The invited user receives an email with an acceptance link and appears in the member list with a Pending status. They must accept before being fully active.
How do I invite someone to a Workspace?
Open the Workspace > click Invite next to the workspace name > select a user already in your Organisation > assign Can Edit or Can View. Access is granted immediately. No email is sent. To give someone the Owner role, first add them as Can Edit and then use Transfer Ownership.
Can I give an external person access to just one project, without them seeing my other projects?
Not directly. Access is scoped to the Workspace, not to individual projects, so anyone invited to a Workspace can see every project inside it. There is no project-only or guest role. To share a single project with an outside client or stakeholder, create a separate Workspace for that project, add the person as an Organisation member (Editor is enough), and invite them to that Workspace with the Can View role. They will only see what's in that Workspace.
Can I move projects between Workspaces?
Yes. Moving relocates the project with all its data, settings, conversations, and analysis to the destination Workspace. You need Can Edit or Owner role in both the source and destination Workspace.
Can I duplicate a project?
Yes. Click the three dots on the project in the Workspace > Copy to > select the destination Workspace. This copies project structure, questions, settings, screening, and media. It does not copy conversation data, responses, or analysis. The copy starts in Draft status.
How do I delete a Workspace?
Navigate to the Workspace > Workspace Settings > scroll to Delete Workspace > confirm. Requires Workspace Owner role. You cannot delete a Workspace that contains published projects. Complete or unpublish all projects first. Deletion cannot be undone.
